We collect or use the following personal information for the operation of client or customer accounts:


• Names and contact details

• Addresses

• Private and confidential information relating to the family, children, and young people. This is in order to act on their behalf as their advocate.


We also collect or use the following special category information for the operation of client or customer accounts. This information is subject to additional protection due to its sensitive nature:


• Health information


We collect or use the following personal information to comply with legal requirements:


• Name

• Contact information

• Health and safety information

• Any other personal information required to comply with legal obligations

• Safeguarding information

• Records from a child or young person’s school, their data from medical reports that I have been provided by the parent/carer.

• Any additional information that the family wish for me to be privy to in advocating on their behalf.

• Information relating to health and safety (including incident investigation details and reports and accident book records)

• I will send invoices to clients for my consultancy services. I will need information including correspondence they have sent for the purposes of formal complaints they have made against schools, NHS health services, housing enquiries, Disability Living Allowance (DLA), Personal Independent Payments (PIP), details of medical conditions and diagnosed conditions. Requests to see emails or records of meetings that have taken place that are important to the case.

Lawful bases and data protection rights


Under UK data protection law, we must have a “lawful basis” for collecting and using your personal information. There is a list of possible lawful bases in the UK GDPR. You can find out more about lawful bases

• Consent - we have permission from you after we gave you all the relevant information. All of your data protection rights may apply, except the right to object. To be clear, you do have the right to withdraw your consent at any time.

• Contract – we have to collect or use the information so we can enter into or carry out a contract with you. All of your data protection rights may apply except the right to object.

• Legal obligation – we have to collect or use your information so we can comply with the law. All of your data protection rights may apply, except the right to erasure, the right to object and the right to data portability.

• Legitimate interests – we’re collecting or using your information because it benefits you, our organisation or someone else, without causing an undue risk of harm to anyone. All of your data protection rights may apply, except the right to portability. Our legitimate interests are:


• I obtain personal information relating to clients as the instructed Advocate to act on their behalf for when they need to challenge decisions relating to school complaints, housing complaints, NHS complaints and/or others. I would only have to share information with Child Protection Services, Adult Services and/or Police if a safeguarding disclosure is made, or there is a concern for a child, young person’s or adults welfare. I work within a private and confidential setting. But any disclosures must be passed on.

This includes an urgent need for life sustaining food, water, clothing or shelter. All of your data protection rights may apply, except the right to object and the right to portability.

• I am working with families that have children, young people and adults with diagnosed differences and/or disabilities or suspected differences and disabilities I have a legal obligation to make sure that I record their personal information as I am representing them as their advocate.

Where we get personal information from

• Directly from you


How long we keep information

We will only keep personal data for as long as is needed.


• If an enquiry is made and no follow up action is required. I will destroy all records in accordance with GDPR.

• If a client instructs us to act on their behalf, I will store their details for up to one year after the case is closed. Once this time limit has been reached, all data will be destroyed in accordance with GDPR Policies and UK Legislation.


Who we share information with

We do not sell your personal data. We may share it only:

•  With trusted service providers (for example, secure email or payment processors) to help us deliver our services.

•  With GoDaddy, our website hosting provider, which may process limited technical data (such as IP addresses and server logs) to maintain and secure our website.

• Professional or legal advisors

• Emergency services

• Organisations we’re legally obliged to share personal information with All information is shared with the consent of the client, however, if there is a safeguarding matter then there is a duty of care to share this information with the relevant safeguarding bodies and/or Police.
